JOB SUMMARY
The Transportation Fleet Manager works alongside all asset fleet sites within the company to establish and maintain an orderly workflow that is safe, functional, and managed with solid communication and safe processes.
The Transportation Fleet Manager ensures transparency, compliance, and cooperation throughout the business as well as with DOT, vendors, and other external parties.
The Transportation Fleet Manager develops, manages, and reports on fleet objectives, targets and performances.
DUTIES & RESPONSIBILITIES
Fleet Registration/Title Administration
- Manage the titles and registrations for the trucks and trailers in the network
- Work with acquisitions to convert their fleet units into DuBois title format and moving them to corporate registration
- Investigate discrepancies on unit titles/working with title office(s) and finance team(s) to appropriately fix any issues
Toll and Transponder
- Evaluate cost efficiency of transponders and toll passes on monthly basis
- Accurately code cost in respective fleet units each month
- Replace and update transponders and plates as required
Fleet/Lease Maintenance
- Manage Fleet lease and maintenance programs in network
- Create a life cycle path for the fleet trucks and work with brokers to sell expired and old units during replacements
- Maintain an effective list of all assets at all sites, assist in capitalized expense justification and unit placement as required
DOT Compliance and Review
- HVUT registration and renewal
- Duty to perform the IRP renewal
- UCR, Alliance Hazmat, overweight load, private hazmat consortion agreements and other associated permits pertaining to fleet operations are reviewed annually (Hazmat and non-hazmat)
- Work with insurance broker annually for scope of fleet
- Disseminate any new or updated documents among the fleet units
- Maintain the Driver Qualification files, Drug Clearinghouse, Random Drug Testing alongside WT Fleet for new hires
Fleet PM
- Managing the maintenance program through DOSSIER
- Working with outsourced team asset for bill review through DOSSIER
- Maintaining the Fleet mailbox
- Assigning RO numbers and auditing final bills for match
- Holding conversations regarding repairs of units, making financial evaluations on efficacy of repair as compared to replacement
- Coding invoices appropriately
- Working with reputable vendors to create discount savings through bulk activity
- Maintain bulk certification and tanker certifications including PMs to ensure proper licensing
Fuel Cards
- Managing the fuel card program through Comdata (or others)
- Ensuring that fuel card expenses match the expectation of cost based on vehicle metrics
- Proper GL coding of fuel card program in network
- Ensuring that network drivers are compliant on spend through the fleet card program
- Daily report generation to driver managers as required
- Submitting fuel card summary invoice to AP for payment
- Preparing IFTA alongside support with fleet partner WTFleet
HOS Review
- Identifies areas of opportunity throughout the network by observing trends electronically through ELDs
- Monitor Fleet Locate portal for improvements in safety areas for review
- Creating follow up with driver managers specific to particular HOS trends
Rentals
- Working with rental companies to obtain cost-effective and safe units with reputable vendors for use in the network
- Creating line of sight to replacement of fleet unit as rentals are required throughout the network
Personnel Management
- Working to increase overall network knowledge of fleet processes
- Work with driver managers to move fleet assets between sites as needed to cover gaps
- Assist in annual performance appraisals of driver managers
Health & Safety
- Responsible for the health and safety of the DOT program and drivers
- Ensure appropriate safety training for fleet units
- Ensure appropriate programs for monitoring fleet assets and compliance to program
Management of Transport and Maintenance Vendors
- Establish and maintain a working relationship with 3rd party vendors
- Create compliance for RO program and invoice processing with vendors
- Analyze business processes and economics, establish and maintain a suitable monitoring system for invoicing approval and daily operations
Leadership / Decision Making Authority
- Identify areas that will benefit from continuous improvement, collaborate with appropriate team members, and implement the required action items
- Management of assigned vendors to ensure a safe, healthy and cooperative work environment
- Safe operation of truck units
- Assist with Inventory Purchasing
- Provide functional guidance/leadership to the organization in all areas of responsibility and provide strategic counsel to the Director as required on related matters
- Perform other such duties or tasks assigned by Director
QUALIFICATIONS- 10-Years experience in Fleet Management, Logistics, Warehouse Management, Supply Chain or a related role
- 03-Years experience supervising a team of direct reports
- CDL A required with Hazmat and Tanker endorsements preferred
- Previous experience with a chemical manufacturer or dealing with chemical products
- Strong leadership, communication & interpersonal skills
- Ability to build and maintain working relationships with cross functional business units
- Excellent written and verbal communication skills
- Proficient in Microsoft Suite - Word, Excel, PowerPoint, Dynamics [D365]
