Daily Responsibilities:

  • Begin daily Completed Tasks e-mail as a draft and add items as completed throughout the day.
  • Check, acknowledge, respond, forward, file, save and delete e-mail no later than every other hour. File e-mails and clean out inbox on a daily basis.
  • Answer phones and forward to proper party as needed throughout the day.
    • Incoming potential client calls - speak with and complete buyer/seller information sheets, getting as much information as possible, including contact numbers, e-mail addresses, origin of lead, etc. Determine agent best able to service the caller and pass information sheet on to the appropriate agent then file.
    • Listen to voice messages throughout the day no longer than every other hour.
  • Coordinate with vendors as needed.
  • Write letters and e-mails as needed, copying, scanning, and filing of documents.
  • Set up new listing and pending files. Scan, sort and create appropriate sub folders.
  • Move files accordingly based on status of pending, closed, fell through, etc.
  • Perform tasks as needed in CRM, maintaining tasks assigned daily.
  • Ensure pending contracts are up to date, request updates and documents needed from appropriate parties to the transaction, including but not limited to paperless pipeline and pending files and/or spreadsheets as needed done on a daily basis.
  • Coordinate walk through of property prior to closing with all parties as well as access for same, beginning with Agent's availability.
  • Coordinate closing with all parties with location, dates and times beginning with Agent's availability.
