We are looking for an experienced office manager to join our team in Flat Rock, MI. The ideal candidate wil be responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. Also,Manage the day-to-day office operations with professionalism being the foundation of the position, regardless of the specific task at hand.

Duties & Responsibilities

• Manage other members of the administrative team.
• Answering the main line, perform order entry, research, and special-order support.
• Provide customer service support directly to the customer as well as through communication to sales personnel.
• Review and update weekly production schedules.
• Reconcile inbound freight receipt with vendor packing slip, purchase distribution report, and invoice, bringing all discrepancies to the attention of the management team.
• Oversee the coordination of all outbound and inbound shipments.
• Function as primary contact for vendors with shipping or billing related issues.
• Code and submit all vendor invoices for payment, ensure filing systems are maintained and current, following established procedures for record keeping and maintaining security and confidentiality of data.
• Assist with accounts receivable, to include collection calls as necessary.
• Manage all outbound correspondence with customers and vendors.
• Provide clerical, administrative, and secretarial support to management team. File and maintain employee records.
• Communicating information from upper management to the local staff.
• Throughout the day you will be called upon to adapt and respond to various operational needs presented by either staff or customers.
• Other duties as assigned.

Qualifications & Education Requirements

• High School Diploma/GED
• 2-5 years of previous customer service/office management experience required.
• Able to use various computer applications such as Excel, Word, Outlook
• Knowledgeable in accounting, data, and clerical practices and procedures
• Familiar with human resources and business management policies and procedures.
• Must possess excellent written and verbal communication skills and display a high level of accuracy and attention to detail.
• Punctuality and efficiency are required to ensure the office operates smoothly.
• Ability to absorb new information quickly, be highly proficient with computer tasks, follow established processes and take initiative to problem solve for both staff and customers.
