General Statement of Duties:

Locke Lord LLP has an immediate opening for a Litigation Practice Assistant in its New York office. This position will support various litigation attorneys in the New York office in their business development activities geared towards growing their client bases and generating new business opportunities. This position is also responsible for handling a variety of administrative duties to support the Litigation attorneys with their existing practices. This position will be charged with taking feedback from client meetings and events, and using that information to generate follow-up events and opportunities, as well as building a knowledge base of contacts and leads. This position requires creativity, initiative, and the ability work confidently with a diverse array of professionals.

Duties & Responsibilities

Administrative functions will include, but are not limited to:

  • Tasks related to opening new matters, such as conflict and new matter workflow
  • Tasks related to client billing, such as time entry, review and editing of proformas, liaising with billing coordinators and client service representatives to keep billing and receivables on track
  • Track status of and reconcile credit card statements
  • Tasks related to matter management, such as processing of client related costs, working with other team members to ensure that goals are achieved
  • Document creation and finalization in MS Word

Practice/Business Development functions will include, but are not limited to:
  • Responsible for conducting research on potential and existing clients, track engagements, monitor and plan follow-ups
  • Assist in the planning and design of client development events tailored to invitees including vendor and activity research
  • Act as point of contact for external events
  • Assist in the planning and scheduling of engagements and events, including reservations, travel arrangements, and activities planning
  • Work alongside the Marketing and Business Development team within the New York Office and throughout the firm to arrange requisite approvals based on event parameters
  • Track and submit event costs for payment or reimbursement
  • Track and manage calendar appointments and Firm distributed invitations for client initiatives
  • Manage LinkedIn presence to appropriately interact with Firm and attorney published social media postings
  • Work with associates in the New York Office on setting up monthly lunches and business development activities
  • Other tasks, duties, and projects as assigned

Education & Experience:
  • Bachelor's degree required, preferably in Marketing
  • 2+ years of prior experience in an administrative and/or marketing role preferred
  • Prior experience in the law industry preferred
  • Experience in project management and managing multiple workstreams simultaneously is a plus
  • Ability to maintain and improve marketing databases
  • Strong work ethic and service orientated approach
  • Strong proofreading and computer skills including solid working knowledge of Microsoft Outlook, Word, Excel, PowerPoint
  • Commitment to professional growth and development
  • Ability to follow instructions, prioritize and manage workload, work independently and as a member of teams, and complete tasks under time pressure as necessary
  • Actively anticipating upcoming projects and anticipating related personnel needs
  • Poise, tact, and professionalism when interacting with internal and external contacts

Additional Information:

Supervisory Responsibility - No supervisory responsibility

Work Environment - This position operates in a professional office environment

Position Type/Expected Work Hours - This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5:30 p.m. Occasional overtime may be required as job duties demand

Travel - Little to no travel is expected for this position

New York Salary Range - $45,600K - $60,800K.The amount of any offer will be based upon years of relevant experience, qualifications, and location
