GENERAL FUNCTION:

  • Responsible for employee-related data entry, electronic filing, auditing, and general maintenance in multiple systems on a daily basis.
  • Generating ad hoc reports from the HRIS and other related systems as needed.
  • Maintains personnel records including employee paper and electronic personnel files, as well as other confidential records such as, I-9, 401k, training, HR invoices, OSHA and FMLA records, etc., in accordance with the companies document control requirements and applicable laws and regulations.
  • Conducts periodic internal audit on HR records to ensure all records are complete and in compliance company standards and applicable laws and regulations.
  • Provide first tier level of support to:
    • Answer HR related questions to all employees in all locations in alignment with PES policies and procedures. When appropriate defer to authorized personnel.
    • Distributes information to employees regarding PES policies and procedures, benefits, performance management, training requirements, etc. as needed.
    • Distributes information to support requests from vendors, brokers, carriers, etc., in accordance with PES policies and procedures as needed.
  • Performs a variety of administrative tasks, such as meeting with special investigators for record review requests, assisting with employment verifications, filing, scanning, responding to or disbursement of mail, assisting with travel arrangements for the HR team, scheduling meetings, setting up conference rooms, etc.
  • Assist in an administrative capacity with reoccurring and simultaneous HR activities and audits (i.e., performance management, merit increases, onboarding, out-processing, open enrollment, affirmative action, compensation analysis, 401k, etc.)
  • Assists with updating and maintaining all HR forms and policies and ensure compliance with QMS (ISO 9000) processes and procedures.
  • Coordinate and facilitates New Employee Orientation (NEO). Ensures NEO is accurate and updated in accordance with current PES policies, procedures, benefits, etc.
  • Completes onboarding activities such as reference checks, education verifications, background investigations, assembling welcome packages, etc.
  • Assist with reconciliation of invoices for benefit plans.
  • Establish and maintain effective professional working relationships with employees, customers and vendors.
  • Follow policies and procedures as described in corporate manuals and directives.
  • Attend work each day during scheduled work hours unless on approved travel or time off.
  • Perform occasional travel to contractor and customer sites, as required (see WORKING CONDITIONS below).
  • Work flexible hours, including occasional approved overtime.
  • Carry out other duties as may be assigned or requested.
QUALIFICATIONS:

Education/Certifications/Experience/Skills:
  • Must possess a High School diploma with specialized training in HR and 2 to 3 years of experience. Experience in DoD government contracting industry/environment is preferred.
  • Must be proficient in the use of Microsoft Office Applications (Word, Excel, PowerPoint), Outlook, Google Chrome, Firefox.
  • Must be able to transport self to various facility sites, as required. If using own motor vehicle, must possess a valid driver's license and proof of insurance.
  • Must have excellent verbal and written communication skills.
  • Mustbe able to transport self to various facility sites, as required.
  • Experience with an HRIS (UKG Pro, ADP Workforce Now) is preferred.
