POSITION OVERVIEW:

This position plays a pivotal role in the Facilities Management team, responsible for Administration and all aspects of Code Compliance as it applies to facility related issues such as: fire alarms, central station monitoring, fire extinguishers, ANSUL/commercial kitchen systems including grease traps and exhaust systems, elevators, sprinkler/standpipe, backflow, HVAC systems, elevators, permits and violations. Additionally this individual organizes and leads company projects that may fall outside the scope of regular projects and warrant special handling, attention to detail and compliance.



KEY ESSENTIAL FUNCTIONS:

  • Management of building department corrections and curing summonses due to code violations.
  • Interfaces with programs on code compliance issues including implementing appropriate training for all facility management and program staff regarding life safety and compliance.
  • Researches all new building codes and regulatory procedures as they apply to Jewish Board locations.
  • Reviews current compliance policies and recommend potential improvements and/or cost savings.
  • Creates and managing of RFP process, including walk-through, bidding & bid leveling.
  • Responsible for Life Safety Contract negotiations.
  • Collaborates with JB Legal on all contracts & insurance requirements.
  • Conducts meeting with vendors for the purposes of bidding, job specifications and all critical documents required.
  • Oversees elevators throughout the agency including: codes, violations, CAT1 and CAT5 inspections and curing deficiencies.
  • Oversees fire alarm systems throughout the agency including: codes, violations, quarterly and semiannual inspections and new system installs.
  • Oversees sprinkler and backflow/RPZ devices including: codes, violations, monthly inspections, annual testing, 5 year FDNY testing and new system installs.
  • Interacts with city agencies, such as: FDNY, DEP, DOB.
  • Works with NYC DOB Web Sites such as DOB NOW & DOB BIS.
  • Perform other compliance and special project related responsibilities as required.
  • Manages Facilities related invoice review and processing.
  • Manages agency fleet of 67 Vehicles including lease negotiations for best possible terms and payments, buyouts, determine vehicle condition and returns.
  • Archives of agency documents
  • Implementation of CARF requirements pertaining to Facilities.

EDUCATIONAL / TRAINING REQUIRED:

  • Bachelor's degree in business management or Minimum (20) years business management.
  • Minimum (15) years in a high-tempo operations/logistics work setting.
  • Minimum (15) years managing staff.
  • Minimum (10) years Facility Management, RFP, bidding, bid leveling, contract negotiations, insurance, project management & life safety.
  • Proficient in MS Excel, Word, Outlook, Teams...
  • Must thrive in a fast-paced environment, be a self-starter and problem solver.
  • Troubleshooting, critical thinking skills, decision-making, damage control and deadline-driven.
  • Best-In-Class Customer Service skills for diverse communities are a must.
  • Superior skills in vendor negotiations.
  • Training/development and fostering a proactive work environment.
  • Strong written and verbal communication skills.
  • Exceptional interpersonal skills.
  • Experience working directly with senior leadership.
  • A valid driver's license is required for this position.
