Duties and Responsibilities:

Directly manage conference centers and events spaces at client locations in the area.

Conference Room Scheduling / Support: Monitor inventory and status of conference rooms within facility and/or portfolio.

Set-up rooms as requested; Break-down rooms after meetings; Coordinate catering requirements.

Support and coordinate A/V requirements with available resources; Support video conferencing requests with appropriate IT resources.

Provide conference/lobby ambassador services as required.

Generate detailed monthly volume/activity reports to track conference room usage and related costs.

Directly manage Event Coordinator(s), coach, and mentor as part of on-going development.

Review, consolidate, and update existing agreements, protocols, and processes related to client's special events that the Site wide Property Management Team has in place with various stakeholders at the site.

Create a site wide special events protocol that can be applied consistently to all stakeholders and tenants on site.

Ability to oversee cross-functional teams on programming and content. Provides strategic guidance and insight moving beyond a purely logistical role.

Provides weekly status reports to the management team to include pipeline reports and post event follow-up.

Oversees team's roles and responsibilities on events, ensuring all team members are meeting the requirements of assigned roles.

Responsible for answering incoming emails and phone calls pertaining to event bookings.

Proactively and regularly coordinate with counterparts at the client site/stakeholder entities to obtain information on any and all upcoming events.

Maintain a site-wide special events calendar of upcoming events.

Identify and coordinate conflicts in the special events calendar that may arise internally between various stakeholders and agencies, or externally with neighboring entities.

Proactively and regularly coordinate with all necessary departments at the Client site to keep them informed regarding upcoming events.

Coordinate any ancillary support services to be provided by the Sitewide Property Management Team and/or its consultants/contractors before, during, or after events.

Keep abreast of and remain connected to the local culture, news, events, and activities in the local market area.

Preferred Background, Skills, and Experience

Bachelor's degree or higher in Urban Planning, Public Administration, Hospitality, or a related field

Excellent communication, complex coordination, and problem-solving skills

Commendable and proven leadership presence

Proficiency in Microsoft Office suite and scheduling software(s) such as Microsoft Project

Five to seven years of practical work experience in the Event Planning (or related) field

Project management skills, including scope, schedule, and budget management; team collaboration and management; on-site staffing and work supervision; and contractor/vendor procurement and management

Venue/building operations experience, including selection and inspection of event venues and coordination with buildings departments, engineers, and other staff to adhere to building codes and other permit stipulations
