SUMMARY

To receive incoming calls, handle and accommodate customers, visitors, and business associates. Provide administrative support to office staff. Duties include general clerical, receptionist, and project-based work. Project a professional company image through in-person and phone interaction.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

HR/Office Support:

  • Greet all customers, prospective candidates, and vendors, etc.
  • Direct visitors to appropriate staff members and COVID screening
  • Perform general clerical duties including photocopying, faxing, mailing, and filing
  • Maintain proper records of employee attendance, leaves, and update employee records (hard and soft copies)
  • Coordinate orientation and training sessions for new employees.
  • Plan, prioritize and schedule meetings and appointments for plant visitors and other management.
  • Support HR in assigned project-based work, such as filing and archiving confidential paperwork.
  • Research, price, and purchase office supplies
  • Training committee assistance with translation of trainings
  • Event planning, promotion, communication, and coordination
  • Sign for and distribute UPS/Fed Ex/ DHL packages
  • Cintas uniform distribution and management
  • Coordinate and maintain phone lists, to include plant extension list
  • Check and manage PPE inventory, along with janitorial supplies
  • Managing backup vendors incase lead times increase


Finance/MRO Support:
  • Administer cycle counting program
  • Enter journal entries
  • Actively review and audit counts in the warehouse and on the plant floor
  • Download vendor invoices (PSE&G, FedEx, UPS)
  • Spreadsheet analysis to track cost savings
  • Assist with reporting and analysis
  • Identify, source, and set up MRO items and vendors, filing receipts in respective area afterwards.
  • Enter PO requisitions
  • Administer Fastenal
  • Follow up on pallet delivery schedule
  • File receiving documents and track recurring purchase orders such as forklift leases, hydraulic oil deliveries, waste oil pickup, maintenance contracts (i.e., Atlas Copco, AMI, Kim Aqua)
  • Sales tax forms
  • Enforce freight-in policy
  • Support the set up and oversee spare parts tool crib inventory program

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos in English and Spanish. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to walk. The employee is occasionally required to stand; reach with hands and arms; and stoop or kneel. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
