Admissions & Records Officer - Engineering Administration

Job Summary
This position is responsible for updating and preparing student records, processing of student petition decisions, processing related changes in academic standing of students, and entering data into Banner.

Duties & Responsibilities

  • Manage Grainger Undergraduate student registration changes, including processing the following: add/drop requests, late course change forms, locked out student requests, course overrides, overloads and underloads, and proficiency exams.
  • Manage Grainger Undergraduate student course adjustments, including processing the following: credit/no credit petitions, grade changes, grade replacement, honors credit learning agreements, incomplete grade check/F by Rule requests, missing grade follow-up, and NR grades.
  • Support registration changes for Grainger Undergraduate students, including processing the following: minors, re-entry/resuming studies petitions, withdrawals, cancellations, concentrations, and transfer (IDT/ICT) petitions.
  • Update academic standing of Grainger Undergraduate students after End of Term evaluation has been completed. Review and process Banner updates for academic standing changes. Review and update Deans' List.
  • Manage and process course articulation requestions. Receive, check, contact, and record emails for articulated transfer credit. Assist in checking and maintaining general education transfer articulation lists.
  • Answer inquiries and resolve problems related to records policies and procedures within Grainger Undergraduate Programs.
  • Perform other duties as assigned.
Minimum Qualifications

1. High school diploma or equivalent.

2. Any one or combination totaling three (3) years (36 months) from the categories below:

A. Course work in any discipline as measured by the following conversion table or its proportional equivalent:
  • 30 semester hours equals one (1) year (12 months)
  • 60 semester hours or an Associate's Degree equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • 120 semester hours or a Bachelor's degree equals three (3) years (36 months)
B. Work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Appointment Information

This is a 100% full-time Civil Service 2756 - Admissions and Records Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The minimum salary for this position is $35,000, commensurate with experience and qualifications. Work authorization is not available for this position.
