VPUE is seeking an Administrative Manager to manage the administration, budgets, and facilities of the Hume Center for Writing and Speaking and its associated programs and events. The Hume Center for Writing and Speaking, part of the Program in Writing and Rhetoric, works with all Stanford students to help them develop rich and varied abilities in every aspect of writing and oral communication. This position reports to the Center Director and will also interact regularly with other university administrative and service offices, academic departments/programs, faculty, academic advisors, and graduate and undergraduate students. Please note that this is not a teaching or tutoring position, though you will interact with Stanford students and with Center undergraduates, graduate, and lecturer tutors on an administrative basis to support students in achieving their educational goals.

In this role, you will:

● Work closely with the Director of the Hume Center to determine administrative priorities and strategies for their implementation.

● Independently implement, administer, and evaluate day-to-day activities of the Hume Center and associated programs by identifying and executing tasks and objectives, making recommendations to Center leadership to improve policies and programs, and directing resources to achieve the goals of the Center.

● Supervise the Administrative Coordinator and work collaboratively with both the Administrative Coordinator and Tutor Manager on Center activities and reporting.

● Manage the hiring process for temporary administrative staff and undergraduate/graduate students; oversee and approve timecards, and work with VPUE HR to submit payroll requests.

● Manage the building and facilities of the Hume Center, including requests for building key card access, ordering office equipment, office space set-up for new employees, and troubleshooting facilities related issues by collaborating with the VPUE departmental facilities manager to determine solutions.

● Participate in development of the Hume Center budgets and monitor and approve expenditures. Perform limited forecasting for programs such as the Bing Honors College and provide recommendations that determine the budget.

● Organize and/or participate in outreach activities such as Family or Admit Weekend or other Stanford events as requested. This may include developing communications and staff training, as well as planning, promoting, and executing those events.

● Work closely with the BHC director, plan and administer the Bing Honors College two-week residential program. Manage communication with students, faculty, lecturers, staff, and vendors throughout the program.

● Oversee purchasing of equipment and supplies for the Hume Center.

● Maintain and troubleshoot the tutor management system called TracCloud.

● Collect and analyze tutoring data, create reports, determine and explain trends, and assist with writing the Hume Center annual report.

● Formulate and evaluate alternative administrative solutions and/or recommendations to achieve program goals or functions.

● Analyze and interpret policies; develop, revise, and implement procedures for the program.

● Represent the program as the key contact and administrative/operations expert within the Center. Commit resources and provide information and/or training. Represent the program to external/internal stakeholders and constituencies.

● Constantly perform desk-based computer tasks. Frequently stand/walk, sitting, grasp lightly/fine manipulation. Occasionally use a telephone. Rarely lift/carry/push/pull objects that weigh 11-20 pounds.

To be successful in this role, you will bring:

●Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.

●Ability to communicate effectively both orally and in writing.

●Ability to routinely and independently exercise sound judgment in making decisions.

●Ability to direct the work of others, for jobs requiring supervision.

In addition, preferred qualifications include:

●Experience with TracCloud

●Experience with Oracle Financials

The expected pay range for this position is $66,560 - $116,000 per annum. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
