Summary:

This position primarily serves as the cross functional partner supporting the Supply Chain Management team on a daily basis across the organization. As a key part of the role this position will be a primary strategic partner to the HR Department facilitating and overseeing on boarding programs and HR Strategies as it relates to Supply Chain and Company initiatives. This role serves as the Supply Chain Management teams advocate to ensure all company procedures as it relates to the Distribution Center are followed based on company guidelines.

Essential Duties and Responsibilities:

  • Working with HR to oversee the on-boarding requirements for all new Supply Chain associates. (i.e., review company expectations, set up in Ultipro, time clocks, badge system, issue lock and locker). Maintain log of all locks and lockers issued.
  • Issue any/all company assets to associates and maintain tracking of all issued asset items (i.e., RF Gun, handheld radios, etc., as job function requires) and coordinating the repair and maintenance of those items with our internal partners.
  • Manage and maintain department org charts- ensuring updated as organizational changes occur.
  • Manage and maintain all associates personnel files with full confidentiality of information observed, as well accurately and with discretion.
  • Working with the DC Management team and HR to support any issues or training as it relates to ULTIPRO inquires, attendance points, PTO etc.
  • Primarily responsible for ensuring all associates receive transitional pay increase (i.e., 45, 90 days) and referral bonuses. Ensure all occur in a timely manner
  • Review and track all incident/equipment accidents which occur in the Distribution Center, maintain a log of all incidents to ensure OSHA compliance. Ensure HR partners receive all documentation timely
  • Collaborate with internal and external partners to maintain SOP for filing damaged product claims with 3PL providers- File all claims, ensure they are processed in a timely manner based on contract terms and direction from the GM.
  • Working with the Procurement Manager to ensure all associates uniforms are ordered and issued and support processing invoices for those items as well as other invoices as needed.
  • Assist in facilitating warehouse events for the company and associates, (i.e., sales, luncheons, birthdays, anniversaries etc.) as requested.
  • Working with all Supply Chain departments support maintaining department expenses as it relates to the department’s budget, while meeting the monthly delivered sales goal.
  • Attend management meetings to ensure the company’s strategic goals are met by the department and adjustments are made when necessary.
  • Working with the operational team support and provide coverage for the workload balance amongst operational team as vacations or absences occurs
  • Maintain and adjust roles and responsibilities within department to align with the company’s strategic business plan.

    Education, Experience and Other Qualifications:
    • Education: Bachelor’s Degree or equivalent experience
    • Proven experience as an executive administrative assistant, senior executive assisting or business office manager
    • Full comprehension of office management system and procedures
    • Proficient with Microsoft Word, Excel, and Outlook and working knowledge of Visio and Power BI
    • Exemplary planning and time management skills and the ability to multitask and prioritize daily workload
    • Years of experience: 3-5 years of prior administrative experience
    • Valid Driver’s license
    • Dedicated to business and allow flexibility with work hours if necessary

    FLSA Status:
