GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of workperformed.

Actingunder the direction of the Administrative Manager, the Senior Surgical PathologyCoordinator will work at an advanced level and under general supervision to performtechnical and clerical functions required for core front-end laboratory operations,clinical and administrative support to a director, faculty, and/or chief of service;database and materials management for clinical and research projects, calendarmanagement, travel arrangements, and coordinates conferences and courses. The SeniorSurgical Pathology Coordinator is responsible for the registration and insuranceverification of private consult cases received by the Pathology Service; theaccessioning of specimens according to approved protocols and documentation ofmaterials received. The Senior Surgical Pathology Coordinator will serve as theliaison between clients and BWH Pathology and follow up on the timely receiptof slides and blocks.

PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility,major job duties, special projects and key objectives for this position. These items should be evaluated throughoutthe year and included in the written annual evaluation.

ClinicalSupport Duties:

  • Provides highlevel of support under minimal supervision for in the Department of Pathology.The responsibilities cover both clinical and research grant portfolio whichcould include federal, non-federal and foundation research grants.

  • Opens, organizesand accessions all consult cases received for specified Pathologists/Service.This includes ensuring accuracy of all information needed for patient data,billing and materials management. Italso includes obtaining any missing information as identified above that isnecessary for the case to be reviewed. Also registers patients and referring physicians when necessary. Ensures that accessioned case is delivered tothe correct Resident/Fellow/Pathologist. Ensures receipt of final diagnostic report by respective referringphysician. Organizes, edits, and transcribes manuscripts and chapters for textbooks. Facilitates communication between coauthors,as well as following through on all paperwork for publication.

  • Creates andsubmits research proposals; corresponds and communicates with grantadministrators.

  • Acts as courseadministrator and works closely with Harvard Medical School to organize CMEcourse "GI, Pancreaticobiliary and Liver Pathology." Schedules, and creates/designs handouts andsyllabi for CME courses and seminars. Corresponds with publishing company on regular basis.

  • Coordinates, schedulesFellowship Program interviews and follow-up as necessary. Coordinates,schedules and follows up with GI Pathology "observer-ships".

  • Organizes legalcases, facilitates communication between Chief of the Division and attorneys;maintains confidential records, as well as composing and sending invoices,keeping track of invoices send and payment received, and creating legaldocuments (eg. legal letters, detailing case info/diagnosis), and schedulingmeetings as well as depositions.

    Non-Clinical Duties:

  • Accession caseinto Pathology LIS (PowerPath) following established procedures.
  • Register patients in Epic for final reporting and billing.
  • Responsible forthe distribution and triaging of private consult cases to appropriate pathologistfor review.
  • Researches,retrieves, copies, picks up and delivers all manner of paperwork throughoutcampus.
  • Files, faxes,emails, photocopies, prepares materials for couriers.
  • Transcribes andtypes documents including manuscripts, reports, grants, correspondence,manuals, abstracts, chapters, course materials, proposals, et al. Responsiblefor proofreading, editing and ensuring accuracy on all levels.
  • CoordinatesOutlook calendar, schedules appointments, meetings, conferences, and travelarrangement. Coordinates all aspects of travel (e.g. flights, hotel reservation,registration for conferences and meeting).
  • Prepares andsubmits all paperwork associated with reimbursement (travel, meals, registrationfees, etc.).
  • Processes andupdates academic records, CVs, and biographical sketches.
  • Maintains division specific databases and createsreports as needed.
  • Orders, picks up and facilitates the handling ofmaterials (e.g. slides, blocks, and reports) used for conferences, researchprojects, and clinical trials. Maintains delivery logs, shipments and consultsrequests.
  • Maintains office and orders supplies. Oversees cleaningand maintenance as directed.
  • Performs all other duties and responsibilities as directed.

  • Qualifications
    EDUCATION: Specifyminimum education and clearly indicate if preferred or required

    High School Diploma or GED required.

    Associate's Degree preferred.

    EXPERIENCE: Specify minimum creditable yearsof experience and clearly indicate if preferred or required

    Minimum 4 years applicable experiencein a healthcare or laboratory setting required.

    Understanding and use ofadvanced level medical terminology required.

    Experience using PowerPath -preferred, but not required.

    Experience using EPIC - preferred,but not required.

    Understanding of billingoperations required.
