Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

The Manager of Facilities will provide daily direction to staff to ensure customer service and alignment with departmental and organizational goals within facility engineering services. The Manager of Facilities ensures safe and efficient operations in compliance with applicable regulatory and safety guidelines.

Essential Functions and Responsibilities

  • Develops operational policies and plans and executes strategic plans
  • Develops and oversees staffing, training, scheduling, budgeting in the Facilities Management department
  • Establishes a safe work environment for employees by performing safety audits and inspections, conducting safety-related training, and maintaining on-going communications with employees
  • Manages building operations and maintenance, equipment inventories, utility operations, energy management, and grounds maintenance
  • Oversees infrastructure repair and renovations projects by identifying and managing vendors/contractors, including bid process, contract compliance, and vendor/contractor performance
  • Acts as the liaison for all remodeling, renovation and construction projects as it relates to product standards, design standards, scheduling shut-downs and system interruptions
  • Communicates with customer, vendors, internal and external partners on the status of work and issues effecting services
  • Reviews and authorizes purchase requests to ensure service agreements are met and maintenance services are in compliance with procedures and budgets
  • Consults with Purchasing and related partners in the specification and purchase of major equipment or systems
  • Maintains external relations related to Facilities Management including government relations, local, State and Federal regulatory agencies, The Joint Commission (TJC), insurance carriers, and others as needed
  • Ensures that facilities are maintained, secured, renovated and constructed according to departmental/organizational policies, procedures, plans and initiatives
  • Assists with the development of and compliance with departmental budgets, including capital, operating and construction budgets
  • Ensures continued compliance with all Federal, State and local regulations and TJC standards
  • Collects, compiles and audits regulatory compliance documentation
  • Works directly with vendors and Purchasing to request proposals for repairs, maintenance and capital improvements
  • Directs the daily assignment of work to ensure safe and efficient plant operations
  • Identified opportunities for process improvement to implement
  • Lead and guide Supervisors and staff to obtain optimal performance and operational excellence
  • Manages staffing, performance evaluation and training activities, and assists with capacity planning for staff and contract labor
  • Represents the company with internal and external customers and sets the example for exceptional customer service
  • Serve on-call as required

Job Requirements

  • Bachelor's degree in Business Administration, Engineering or related field required. Demonstrated positive experience in healthcare facilities or construction environments may be deemed equivalent to educational requirements.
  • Six years' experience in the maintenance and operations or facilities management of a physical plant and/or building maintenance for a large facility required
  • Knowledge and experience with Joint Commission, NFPA, state and federal regulations for healthcare facilities required
  • Three years' experience in a large, multi-campus healthcare system preferred
  • Three years' supervisory experience preferred
  • Valid Indiana Driver's License

Knowledge, Skills & Abilities

  • Ability to recognize infection prevention or life safety deficiencies and implement Infection Control Risk Assessments (ICRA) and Interim Life Safety Measures (ILSM)
  • Knowledge of required construction practices in hospital and health care settings, Minimum Standard and NFPA Life Safety Code (101)
  • Effective verbal/written skills essential for effective communication with all levels of the organization and outside interested parties and vendors for contracted services
  • Ability to establish priorities for implementation of scheduled project and maintenance activities so as to meet predetermined deadlines and requirements
  • Ability to make qualitative decisions in emergency situations as it relates to hospital property and interests
  • Ability to supervise, organize and delegates subordinate activity
  • Computer skills: Proficiency in basic MS Office programs and web-based work order systems
  • Demonstrated general knowledge of plant operations systems
  • Problem solving: ability to identify and resolve problems in a timely manner and gather and analyze information skillfully
  • Quality management: looks for ways to improve and promote quality and demonstrates accuracy and thoroughness
  • Planning/organizing: ability to prioritize and plan work activities, use time efficiently and develop realistic action plans
  • Ability to train others on technical components, applicable regulations and internal procedures to ensure efficient and safe plant operations
