Department Coordinator (A1305111MW)

Our client, a private university in Waltham, MA, is seeking a Department Coordinator to assist in administration in regards to office operations, payroll management, procurement, and financial accounting. This positions requires skills in communication and proficiency in management skills. Qualified candidates are encouraged to apply!

Pay: $22-23 per hour based on experience

Schedule: Mon-Fri, 9am-5pm (35 hrs/wk)

  • Responsibilities include handling the needs of the Professors as well as the undergraduate and graduate students, organization and entry of expenditures related to payroll, reimbursements, human resources paperwork, procurement, reconciliation, and PhD stipend paperwork.
  • The position requires a high degree of skill in communicating with staff, faculty, senior university administration, vendors, and the general community. The position also requires computer proficiency and the ability to manage multiple projects and deadlines in a fast moving department.

Skills:

  • Written/Verbal Communication - Extensive use of verbal and written skills. Daily communication includes interacting with staff, students, senior administration, as wells as prospective students and vendors. May explain and offer guidance on routine procedures.
  • Knowledge - Knowledge of fundamental university concepts, practices and procedures with ability to apply in routine situations. Functional knowledge of Microsoft Office Suite and/or Google Office Suite.
  • Collaboration/Service - Has contact with other professional staff and/or external contacts to give or obtain information or deliver service. Results can affect own functional area.
  • Decision Making - Decisions generally affect own job or specific functional area.
  • Problem Solving - Problems are varied, requiring analysis or interpretation of the situation. Problems are solved using knowledge and skills, general precedents and practices.
  • Independence of Action - Results are defined. Sets own goals and determines how to accomplish results with some guidelines. Supervisor/manager provides broad guidance and overall direction.
