About the Department:

SMU Abroad Office serves the SMU community by developing and coordinating international programs, and by providing support services during and after the experience abroad. Students at SMU have the opportunity to participate in a wide range of January, May, Summer and semester abroad programs, including academic programs that yield University Curriculum and Common Curriculum credit, major/minor-specific programs, internships, and guided research. These programs may be faculty-led, SMU approved affiliated, hybrid, or virtual abroad programs. Students studying, researching, or interning abroad encounter diverse global communities and intellectual traditions. SMU Abroad programs and global partnerships enhance academic and experiential learning around the world.

About the Position:

The Coordinator liaises with the offices of the Registrar, Bursar, Purchasing, and Accounts Payable to ensure that all programs, courses, contracts, and budgets are compliant with SMU policies. This position will
be the main contact for invoices between SMU Abroad and foreign universities, third-party providers, and other entities that host our students and faculty abroad.

The Coordinator provides administrative and operational guidance to SMU Abroad by managing student records and financial budgets including managing all course scheduling and enrollment, running and analyzing queries in my.SMU, overseeing program budgets, and preparing faculty compensation documents.

The position is also responsible for advising students on scholarship opportunities and administering SMU Abroad scholarship funds and distributing awards to students.

Essential Functions:

  • Financial Management: Monitor SMU Abroad orgs for accuracy, verify expenditures and revenues, and track and reconcile discrepancies. Process invoices and journal entry funds when necessary. Order marketing and recruiting materials in addition to needed resources and office supplies.
  • Financial Management: Prepare reports as requested including a monthly summary on budgets, the Foreign Activities report for SMU Accounting, final report to analyze programs, and other financial data as requested for proposing changes to fees, program costs, scholarships, revenues, and compensation.
  • Enrollment: Manage course petition process using DocuSign and update course database online. Set-up "placeholder" courses and student groups for all provider programs; set-up courses for faculty-led, hybrid, and virtual program with proper general education tags; and enroll students.
  • Student Records Management: Ensure timely and appropriate processing of student transcripts and posting of verification of enrollment forms from third-party providers. Confirm valid student enrollment and verify with my.SMU query before provider invoices are paid.
  • Program Management: Update abroad faculty and staff contract letters, program budgets, and estimated student budgets for abroad programs. Initiate process for compensation to faculty and staff leading abroad programs.
  • Advising and Academic Interfacing: Advise students on study abroad opportunities appropriate for major, minor, and UC and CC requirements and information on abroad programs. Advise students on scholarship opportunities. Create and facilitate workshops on funding to support study abroad participation.
  • Scholarship Management: Compile yearly reports for the Development office. Maintain list of available scholarship funds and post scholarship payments to students' accounts.
  • Other duties as assigned by Director.
  • The position may require some evening work to assist with recruitment events


Qualifications

Education and Experience:

Bachelor's degree is required. Masters preferred.

A minimum of two years of work experience is required.

Some experience in academic advising, teaching, higher education, and/or counseling is desirable. Experience managing data and budgets is preferred. Experience in project management is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop effective relationships with a wide range of constituencies. Must also demonstrate strong written communication skills. A strong customer service orientation is essential.

Candidate must possess strong problem-solving skills with the ability to identify and analyze problems, as well as devise solutions. Must also have strong organizational, planning and time management skills. The ability to provide accurate information is essential.

Candidate must be a self-starter with the ability to work independently, as well as work collaboratively in a team. The ability to be flexible and adapt quickly to changing priorities is essential.

Candidate must have a strong working knowledge of Microsoft Office suite (Word, Excel, PowerPoint and Outlook). Experience with and/or knowledge of one or more fo the following is desirable: Terra Dotta, Adobe Creative Suite, a relational database (e.g. PeopleSoft), imaging software (e.g. ImageNow), and website content management software (e.g. Sitecore).

Knowledge of a second language is preferred.
