SUMMARY

The Government Events Program Manager will assess and conceptualize our federal government clients' needs and desires for meetings and conferences, and ensure conferences are executed to the clients desired vision and goal. Depending upon the project format, this position will provide both direct conference planning and management, and/or oversight of vendors providing conference planning and execution.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Essential duties and responsibilities include the following. Other duties may be assigned.

Consults with clients to assess and understand their needs for the event; areas of discussion and consultation include - staffing, meeting rooms, convention halls, ballrooms, hospitality suites, hotel rooms, catering, signage, programs, music, security, display areas, and other specialized requirements.

Develops project plans and budgets to guide the execution and control of the project.

Communicates project plans, objectives, timelines, schedules, job assignments, responsibilities and reporting relationships.

Maintains a solid customer relationship and assures customer satisfaction with the successful execution of the project.

Coordinates the work of all vendors related to event planning and event execution, ensuring work meets customer expectations

Manages project scope, deliverables, cost, profitability, schedule, quality and resources. Meets both on time delivery and budgetary objectives.

Implements industry best practices, project management tools and methodologies.

Provides full conference planning and management as needed per engagement:

  • Compiles a list of prospective event locations; visits locations with clients and provides guidance on the final selection.
  • Compiles price lists and negotiates contracts for services, dates, times, and spaces.
  • Consults with clients and coordinates with staff to plan and develop event schedule, topics, and featured speakers.
  • Ensures that events meet legal, safety, and health requirements and regulations; obtains necessary permits from fire and health departments.
  • Hires, trains, manages, and schedules event volunteers and support staff.
  • Coordinates transportation for guests, attendees, speakers, or other parties.
  • Coordinates registration process for event participants.
  • Manages all administrative duties and details associated with the event including financial operations, distribution of promotional materials, and responding to inquiries.
  • Develops and maintains current lists of available venues and services, and pricing options.
  • Maintains current knowledge of event planning standards and trends by attending seminars, consulting with other professionals, and reading trade publications.
  • Performs other related duties as assigned.

Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output.

Responsible for aiding in own self-development by being available and receptive to all training made available by the company.

Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and co-workers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions as the best of own ability.

Promotes and encourages a culture of compliance with all applicable rules (federal, state, local, Federal Acquisition Regulations, Code of Federal Regulations, Prime Contract requirements, etc.) for themselves and the company as a whole.Fosters an environment in which they will reportanyviolations or reasonably suspected violation of CNI policy, FAR, and/or CFR and are comfortable discussing the myriad compliance, conflict, FAR, CFR, etc. issues that arise during the performance of a government contract.

EDUCATION/EXPERIENCE REQUIRED

Bachelor's degree in Hospitality, Meeting and Event Planning or related field required. At least ten (10) years of experience in corporate event and convention planning, with at least five (5) years' experience supporting federal government customers.

CERTIFICATES, LICENSES, REGISTRATION

Certified Meeting Professional designation (CMP) required.

Certified Government Meeting Professional designation (CGMP) desired.

Project Management Professional (PMP) highly desired.

Prior experience supporting events for CDC highly desired.

JOB SPECIFIC KNOWLEDGE / SKILLS / ABILITIES

Customer Service focused, strong interpersonal skills and an understanding of public service.

Integrates a variety computer skills and advanced knowledge of Microsoft Office software.

Strong verbal, oral, written communication, decision-making, problem-solving, and organizational skills.

PHYSICAL DEMANDS

Must be able to stand and walk for long periods of time during events.

Must be able to lift up to 25 pounds at times.

Must be able to work a variety of hours in order to accommodate events.

Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. May be required to lift, push or pull 50 pounds or more using cart or hand truck. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. May work near moving or mechanical parts. May have exposure to chemicals, fumes, warehouse environment or adverse weather conditions. May be required to use safety and personal protective equipment.
