Salary: $41,650 - $46,501 annually

FLSA & Union Status: Non-Exempt, Non-Bargaining

Primary Purpose: The Administrative Assistant provides administrative support to the Immigration Legal Services Office through various activities, including supporting office communications, general operations, and maintaining some accounting duties.

Essential Duties:

  • Provide administrative support to the CWS Greensboro Immigration Legal Services team, including answering phone calls, scheduling appointments, maintaining electronic and paper-based client files, and processing mail
  • Accept and record client payments for legal services, and submit payments and donations to CWS Headquarters
  • Communicate with current and potential clients regarding the types of legal services offered at CWS Greensboro and the current fee schedule
  • Photocopy client documents, applications, and files
  • Use web-based case management software to enter case notes about incoming legal mail and communication with clients
  • Maintain accurate and up-to-date paper-based client files
  • Assist in preparing USCIS application packets for submission by mail
  • Communicate with other departments within CWS Greensboro and local partners such as the Guilford County Health Department, Department of Social Services, Guilford County Schools, and other legal service providers
  • Collaborate with all members of the CWS Greensboro team
  • Attend trainings and conferences as requested by supervisor
  • Other administrative duties as assigned by supervisor
Qualifications:

Experience: Minimum of one year in office administration required or five years’ experience in office administration if no Bachelor’s Degree. Must demonstrate creativity and initiative and must be able to handle multiple projects and responsibilities simultaneously.

Skills: Fluency in Spanish strongly preferred. Fluency in another refugee language (Arabic, Dari, French, Kinyarwanda, Pashto, or Swahili) is a plus but not required. The successful candidate must be computer literate, with proficiency in MS Office Suite (Word and Excel) and internet applications. Exceptional organizational and time management skills are required. Ability to give close attention to detail. Excellent communication skills are essential. Ability to work in a multi-cultural environment required. Education & Certifications: Bachelor’s Degree and at least 1 year of related work experience OR alternatively, High School Diploma/GED and at least 5 years of related work experience.
