ABOUT THE JOB

The ACLU seeks applicants for the full-time position of Administrative Assistant, Advocacyin the Justice Division of the National Political Advocacy Departmentof the ACLU's National office in New York, NY.

The National Political Advocacy Department (NPAD) works to strengthen the efforts of the ACLU at the federal, state, and local levels of government. The department harnesses the political power that comes from having more than eight million members and supporters, as well as affiliates in every state. By driving issue campaigns involving organizing grassroots lobbying campaigns using modern tactics, the ACLU seeks to achieve change as profound in the legislative, administrative and electoral arenas as it has accomplished through the courts.

Reporting to the Director of the Justice Division the Administrative Assistant will ensure the Justice Division Team has the tools, information, and logistical support it needs to accomplish its work. The Assistant handles clerical tasks, assists the Division Director as needed in implementing systems and executing procedures, and generally provides for an efficient operation of the office.

RESPONSIBILITIES

  • Perform various administrative functions including data entry, filing, arranging travel, scheduling, answering phones, distributing mail, and maintaining databases and organize electronic and hard copy filing and tracking systems
  • Draft correspondence and other materials as requested; respond to written and verbal inquiries, as directed
  • Maintain databases and organize electronic and hard copy filing and tracking systems
  • Process and track travel and other expenses
  • Provide logistical support for division-wide events, scheduling and arranging meetings, conference calls and webinars; coordinating catering and audio-visual requests; preparing materials and taking minutes
  • Coordinate onboarding and exit of division employees
  • Maintain inventory of department office supplies and equipment
  • Schedule, facilitate, and provide logistical support for be they in-person, teleconference, or webinars
  • Prepare, proofread, and edit documents
  • Provide administrative support for the managers' review of applications for intern positions
  • Work jointly with interns and communicate routine and/or procedural guidance on projects assigned by managers

EXPERIENCE & QUALIFICATIONS
  • Highly organized with excellent time management skills; detail oriented with the ability to work in a fast-paced environment, and manage multiple projects simultaneously, often under strict deadlines
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively
  • Excellent interpersonal skills and confidence to navigate a large department and complex organization
  • Proficient in Microsoft Office Suite (i.e. Word, Excel, Outlook, PowerPoint)
PREFERRED QUALIFICATIONS
  • Equivalent experience in an administrative role
  • Previous experience with legislative issues, advocacy, or political work
  • Experience with travel and expense management platforms such as Captio, Certify, or Concur is preferred
COMPENSATION

Salary for this position is $69,354. Excellent benefits package provided.
